The need for an efficient method of storing and managing health and safety documents is crucial for the mining industry. Given the vital role of safety in the mining environment, more corporates and contractors are shifting towards the use of digital solutions to minimise the risk of non-compliance and ultimately help them reach zero harm.

Recognising the risks associated with using a manual safety filing system, Saryx Engineering Group founded HSEC Online® to allow contractors and corporates to collaborate and digitise entire Safety Packs online and in real-time. Co-founded by Electronic Engineer Ingrid Osborne and Computer Scientist Julie Mathieson, the award-winning solution has since been adopted by large and medium sized corporates and their contractors primarily in the mining, engineering and construction industries.

“In 2016 we identified the gap of managing and adhering to contractor compliance by using our old manual paper base process. Since identifying the gap, we implemented HSEC Online® in 2017 with great success,” says Lorna Trollip, Contractor Specialist at Seriti. Following the successful implementation, Seriti recently rolled out HSEC Online® in all their operations and requires all contractors to be compliant on the platform.

Document management and the control of records was one of the leading challenges encountered by Universal Coal Group Health and Safety Manager Bongani Mashaba, “We always had to run around looking for documents whenever we had an audit or when we were onsite and documents were requested.  Another challenge was that it was not easy to keep track of documents which can expire because everything was done manually, meaning that someone has to physically check the document to find out if it has expired or not.  With the introduction of HSEC Online®, everything is done efficiently online, saving us time and money, but most importantly, we can now focus on ensuring our employees work safely and ensure we prevent all incidents from happening.”

“HSEC Online® allows mines to digitise checklists, track the real-time status of pending applications and enable operations to proactively send communications and receive automatic reminders on items that require attention. The flexibility and immediacy of use can go a long way in eliminating human errors and reducing potential work hours lost in the case of injury, which can ultimately save the company money,” says Ingrid Osborne.

With a growing list of companies using the solution, including South32’s Southern Africa operations, Glencore Alloys, DRD Gold, Grindrod, Mondi, AB-InBev, Clover Alloys and more, HSEC Online® is well on its way to transform the landscape for health and safety document compliance.
